Project background
Labsoft is a company specializing in the sale and servicing of laboratory equipment. As the business grew, the need arose for a modern work environment that would better support daily collaboration, flexibility, and data security.
Until recently, the company mainly relied on traditional tools such as email, local network folders, and Excel spreadsheets. While these worked well for smaller organizations, they began to limit efficiency as the company scaled. The pandemic and transition to hybrid work further highlighted the lack of centralized solutions that could enable smooth communication, secure document storage and sharing, and transparent internal processes.
Project goals – Microsoft Teams, SharePoint, and Power Platform as the foundation for change
- Improving internal communication Implementation of Microsoft Teams as the official tool for communication, team chats, video meetings, and project channels.
- Document centralization and real-time collaboration Migration of files to SharePoint Online and OneDrive, introduction of a knowledge repository, and online document co-editing.
- Remote and mobile work enablement Providing full access to email, files, and applications on any device — especially for sales and service teams working in the field.
- Enhanced IT security Implementation of MFA, BitLocker drive encryption, remote device management via Intune, and improved anti-spam and anti-phishing filters
- Automation of key administrative processes Development of Power Platform applications for managing vacations, vehicle fleets, and tender processes.
Scope of Microsoft 365 and Power Platform implementation
Email migration to Microsoft Entra (formerly Exchange Online)
All mailboxes were migrated to Exchange Online (now Microsoft Entra), including message archives, calendars, and contacts.
Results:
- Improved spam and phishing protection
- Global address book in Outlook
- Shared calendars and visibility of coworkers’ availability
Microsoft Teams as the main communication tool
Atteli designed the Teams structure to match Labsoft’s organizational model:
- Department-based teams (Sales, Service, Administration)
- A company-wide team “Labsoft – General” for announcements and internal communications
- Project channels dedicated to tenders and large implementations
Microsoft Teams was installed on all employees’ computers and mobile devices. Weekly online training sessions helped ensure quick and smooth adoption of the new tool.
SharePoint Online – intranet and document repository
The new intranet built on SharePoint Online includes:
- A homepage with company news and a shared calendar
- Departmental document libraries (e.g., “Offers and Contracts”, “Service Reports”)
- A knowledge repository containing regulations, contract templates, price lists, and ISO policies
- SharePoint lists serving as data sources for applications (vacations, fleet, tenders)
The migration covered thousands of files from local servers. The structure was reorganized, duplicates removed, and document versioning implemented.
OneDrive for Business – personal files and large data sharing
Each employee received 1 TB of storage in OneDrive for Business, enabling:
- Automatic file backup
- Easy sharing of large data sets (e.g., product photos for agencies)
- Elimination of the need for WeTransfer or USB drives
Security – Azure AD and Intune
Modern security mechanisms were implemented, including:
- Multi-Factor Authentication (MFA)
- Periodic password changes
- BitLocker drive encryption on laptops
- Device management via Microsoft Intune (with remote data wipe in case of device loss)
Within the first few months, the new email filters successfully blocked phishing attempts that previously could have deceived employees.
Applications and process automation in Power Platform
Using Power Apps, SharePoint, and Power Automate, three key modules were developed:
- Leave management – digital leave requests, approvals directly in Teams, automatic entries in the “Absences” calendar, and a view showing “Who’s on leave today”.
- Vehicle fleet management – a list of company cars with inspection and insurance dates, automatic email notifications, and Planner task creation.
- Tenders – a central registry of tender processes with reminders for key deadlines (question submission, offer submission, offer validity). Notifications are sent via email and a Teams bot.
Everything was integrated with Microsoft Teams to provide employees with one unified workspace.
Benefits of implementing Microsoft 365, Teams, SharePoint, and Power Platform
- The number of internal emails decreased by around 30%, with most matters now resolved in Teams chats within minutes instead of days.
- Employees save an average of 1–2 hours per week thanks to centralized document management.
- No more duplicates or confusion over “which version is the right one.”
- Sales and service teams can access files and chats from their phones, and video meetings with clients have replaced many long business trips.
- Leave schedules are clearly visible in a shared calendar, while vehicle inspections and insurance renewals are now handled on time.
- MFA and BitLocker protect company data, and the new filters effectively block phishing attempts.
- 85% of employees rate the changes positively, and new grassroots initiatives have emerged — such as a shared list of service parts in the intranet.

Summary Within just over a year, Labsoft transformed from a company relying on emails and local files into a modern digital organization. The implementation of Microsoft 365, Microsoft Teams, SharePoint Online, and Power Platform streamlined communication, organized document management, automated administrative processes, and fostered a digital culture open to further innovation.
